Waivers

A waiver is text people read and sign when they register: a release of liability, a code of conduct, a media consent. Plantains records exactly what each person signed, who signed it and when, with a parent or guardian signing for a minor.

Waivers and agreements

The palette's Agreements group has two fields:

  • Waiver: a full text to read, an agreement to tick, and a signature (their typed full legal name, and a drawn one if you want). Each signature is kept as its own legal record. Use it for releases of liability and anything else you'd want proof of.
  • Agreement: one statement to tick, like "I agree to the race rules." It's saved with the answers, like any other question, without a signature or a separate record. Use it for simple yes-I-agree terms.

Adding a waiver

  1. In the builder, drag Waiver (under Agreements) into the section of the person who signs it. For a team, that's each rider's section: see Who signs.
  2. Click it, and paste your waiver into Waiver text. Plain text works, and so does Markdown (# Heading, **bold**, - bullets). Line breaks are kept.
  3. Check the Agreement statement next to the box they tick. The default says that typing their name is their legal electronic signature: keep that part.
  4. Turn on Must scroll to the end if they have to scroll through the text before they can agree, and Drawn signature too if they should also sign with a finger or mouse. A dot or a quick tap on a touchpad doesn't count: the pad waits for something that looks like a signature.
  5. If minors can register, set up the Minors part.

  1. The waiver itself. People can open it in a larger view to read. The exact text each person sees is stored with their signature.
  2. The statement next to the box they tick. Keep the part about typing their name being their signature.
  3. Must scroll to the end: the agree box unlocks once they've scrolled through the text.
  4. Drawn signature too: besides typing their name, they sign with a finger or mouse.

A waiver is always required of whoever signs it. Plantains won't publish a form whose waiver still has the placeholder text, or one set up for minors without a birthdate field to tell who's a minor.

What signing looks like

On the form, a waiver shows its text in a scrolling box, then the parts they fill in:

Who signs

Where you put a waiver decides who signs it. The waiver's panel says who, under Who signs:

  • In a participant section with its own Email field (Rider 2, a teammate): that participant signs their own, or their parent or guardian does for a minor. See Participants.
  • Anywhere else (the person registering's own section, or a section that isn't a participant): the person registering signs it while they register.

The person registering doesn't sign a teammate's waiver for them. The form says that teammate signs it themselves, and after registering, Plantains emails them a link to sign it. If the teammate finishes their own part of the registration, they sign it then (see Teammates finish their own part). The one exception: the person registering can sign for a minor teammate if they tick that they're that teammate's parent or legal guardian.

Under Teammates sign…, choose how a teammate's waiver can be signed:

  • Online, before the event (the default): their email is required. Until they sign, the registration shows as not ready.
  • Online, or in person at check-in: they get the link if there's an email, and the desk can record a paper waiver instead (see Paper waivers at check-in).

Minors

Someone under 18 can't sign a binding release, so a parent or guardian signs for them. To make that work, the waiver needs to know each participant's birthdate:

  1. Add a Birthdate field (in the palette's Specific group) to the participant's section.
  2. Click the waiver. Under Minors, pick that field as the Birthdate field. (Leave it at None: everyone signs for themselves for an adults-only event.)
  3. Leave Parent or guardian signs on: for minors, the guardian types their own name and picks their relationship (Parent, or Legal guardian).
  4. Turn on Guardian must come to check-in if a parent or guardian has to be there on the day, and edit the Notice for minors they'll see.

Who counts as a minor: anyone under 18 on the form's event date (set it in the form's own settings in the builder) or on the day they sign. A 17-year-old who'll be 18 by race day still has a guardian sign, because they can't sign a release yet. Without an event date, it's their age on the day they sign.

Guardian must come to check-inShows a notice and flags the entry "Guardian at check-in"

Because the participant will be under 18 on event day, a parent or legal guardian must accompany them at check-in and may be asked to sign an additional minor release.

The participant is under 18, so a parent or legal guardian must sign on their behalf.

Relationship to the participant

Parent

Parent or guardian: type your full legal name to sign

Maria Rivera
  1. The participant's birthdate: it tells who is a minor.
  2. For a minor, the parent or guardian signs: their own name, and their relationship.
  3. Shows the notice to minors' families, and flags the registration: the Minor tag at check-in.

With Guardian must come to check-in on, a minor's registration gets the Minor check-in tag, so the desk knows to ask for the parent or guardian. The registrant's own page says Guardian at check-in on that participant too.

Paper waivers at check-in

When someone hands in a signed paper waiver at the desk (a teammate who never signed online, say), you record it in Plantains, so the registration is complete:

  1. Open the registration in Submissions. An unsigned waiver says Not signed, with a Paper waiver button.
  2. Click Paper waiver, tick that you've received a valid, signed paper waiver for that participant (signed by a parent or guardian if they're a minor), and type your initials.
  3. Click Record paper waiver. Keep the paper: it's the signed original.
Submissions → a registration → an unsigned waiver

Record paper waiver
  1. A waiver nobody has signed yet.
  2. Records a signed paper copy handed in at the desk.
  3. You confirm you have it, and add your initials. Plantains records that it was received, by whom and when.

Anyone from Check-in up can record a paper waiver, on a registration that's active (not cancelled or archived). More on the desk in At the check-in desk.

Signing again

A signed waiver can't be edited: it's a legal record. But some changes make it the wrong signature, and Plantains asks for a new one:

  • A birthdate change across 18: you fix a birthdate, and the participant is now a minor on event day (a parent or guardian must sign), or no longer one (they sign themselves). Whoever looks after that spot (the person it was transferred to, else the person registering) is emailed a link to sign just that waiver. Put the birthdate back and the request goes away.
  • A registrant's own birthdate change: if registrants can edit their birthdate, and the change crosses 18, they sign again right there, before it saves.
  • A transfer: the new person signs the spot's waivers when they accept it. After a whole registration changes hands, the new owner is also emailed a link to sign its other waivers (those outside the participant sections).

The earlier signature stays on record until the new one replaces it. In the registration, Waivers to sign lists what's waiting, who it was sent to, and when:

Resend Stop asking
  1. What's waiting, for whom, and why: here, a birthdate change made Rider 2 a minor on event day.
  2. Resend: emails a new link (the earlier one stops working).
  3. Stop asking: drops the request, for example when you'll have it signed at check-in.

Not ready until it's signed

A registration with a waiver still to sign is marked Not ready in Submissions, so nothing slips through on the day. Inside it, an amber label says why:

  • Waiver not signed: a teammate (or the new owner after a transfer) hasn't signed their waiver yet.
  • Waiver to sign again: a birthdate change needs a new signature.

The Not ready view in Submissions lists every registration like that. When the waiver is signed (online, or recorded on paper), the label goes away by itself. Registrants see it too: their page says Incomplete, with "a waiver to sign" in what's left (see Completed, Incomplete or Cancelled).

Signature records

Every signature is kept as a record you can print or save as a PDF. Open a registration in Submissions: under Signed waivers, each one shows who signed and when, with a Record button. A signature that was replaced (after signing again, or a transfer) stays in the list, faded, marked Replaced.
