Your team
The people who run your registrations with you: who they are, what each of them can do, and which forms they see. The team lives on the Team page, in the sidebar. Everyone can look at it; only the account's Owner changes it.
Your account and its Owner
An account is your business or your event series. Its forms, registrations, codes and settings belong to it, and so does its team. Every account has exactly one Owner: the person who created it.
Only the Owner can:
- invite people, change their roles and folders, and remove them;
- connect or disconnect Stripe (Settings → General → Payments);
- change the account's settings: its default time zone, sales tax rate and contact email for registrants;
- manage the plan and billing (the Billing item in the sidebar shows only for them; see Billing);
- rename the account and change its logo.
There's no way to make someone else the Owner from the Team page, so an account always has just one.
Seats
An account has room for 3 people: the Owner and two teammates. An invitation that hasn't been accepted yet takes a seat too. The People list shows how many are used ("2 of 3 seats used").
When every seat is taken, the invite form is switched off. To invite someone else, remove a teammate or Revoke an invitation first.
Inviting someone
- Open Team in the sidebar.
- Under Invite someone, enter their email.
- Pick their Role (Editor is chosen to start with). The line under the form says what that role can do.
- If your account has folders, Can see lets you limit them to some of them (see Limiting someone to some folders).
- Click Send invitation.

EditorCan see
All forms- Seats used, counting invitations: 3 in all, the Owner included.
- Their role. Choosing another changes it right away.
- Which forms they can see: All forms, or the folders you choose.
- Removes them from the team.
- An invitation that hasn't been accepted yet. Revoke takes it back and frees the seat.
- Inviting someone: their email, their role, and (when you have folders) what they can see.
They get an email from Plantains saying who invited them, to which account, and their role, with an Accept the invitation button. Replies to it go to you. Accepting creates their Plantains login, or asks them to sign in if they already have one, and then they're in your account. The invitation works for 30 days.
Until they accept, the invitation shows in the People list as hasn't joined yet. If the email went to the wrong address, Revoke it and send a new one. (An address that already has an invitation can't get a second one until you revoke the first.)
The roles
Everyone on the team can see your forms and their registrations. A role decides what else they can do. From most access to least:
Admin
Everything but the team, Stripe and account settings.
Manager
Edit and publish forms, manage codes, inventory and money, edit and archive registrations. Can't delete forms or registrations.
Editor
Like a Manager, but can't publish forms or archive registrations.
Check-in
Look up and edit registrations, mark waivers signed in person, charge or waive upgrades and take card payments at the desk. No refunds, no lowering prices, no exports, and no Reports (day-of staff and volunteers: 2026-10-16).
Viewer
View and export registrations, and see Reports. Can't change anything.
What each role can do
The same table is at the bottom of the Team page (What each role can do). Plantains checks every one of these on its server too, so a hidden button is never the only thing in the way.

A few things that follow from it: Check-in and Viewer don't get a form's Build and Settings tabs or the Saved page; Editors build forms but a Manager or above publishes them; Integrations are set up by Admins and the Owner. When someone tries something their role can't do, Plantains says so and suggests asking the account owner.
Changing someone's role
In the People list, pick another role in the menu beside their name. It's saved at once. They don't need to sign out: their dashboard picks up the change within seconds, as they move between pages or come back to the tab.
Limiting someone to some folders
Folders group forms on the Forms page (one per event series, say). You can let a teammate see only the forms in some folders: a race director who only works on one event, or a client's staff who should only see their own. The button appears once your account has a folder.
- On the Team page, click the access button beside their role (it says All forms to start with). For an invitation, it's Can see.
- Choose Only the forms in these folders and tick the folders.
- Click Save (or Done for an invitation).
Which forms Jamie Rivera can see
All formsEvery form in the account, including ones added later.
Only the forms in these foldersThey won't see any other forms, their registrations or their codes.
- Every form in the account, including ones added later.
- Only these folders' forms. Forms moved into them later show up for them too.
Someone limited to some folders:
- sees only those folders on the Forms page, and only the forms in them. A form that isn't in any folder never shows for them;
- doesn't see the other forms' registrations, codes, signatures or exports. Opening a link to one says it doesn't exist;
- makes new forms only inside their folders, and can move forms only between them. They can't create, rename or delete folders;
- sees webhooks that send every form, but can't change them. Webhooks that only send their own forms are theirs to change.
If you delete a folder, it's taken out of everyone's access. Someone left with no folders at all sees no forms (the button says No forms, in red), never every form. The Owner always sees everything.
Removing someone
Click the remove button at the end of their row in the People list, and confirm. They lose access to your account right away, and their seat is free again. Their Plantains login stays (they may use it in other accounts), and you can invite them again later.
The account's name and logo
The Account box at the top of the Team page (the Owner sees it) has the Account name and Upload logo (a PNG, JPEG, GIF or WebP image, up to 10 MB). The name is what registrants see: above the form's name on their registration page, and in the emails sent on your behalf. The logo shows in the account switcher.
Where registrants' replies go
When a registrant replies to one of Plantains' emails (a confirmation, a receipt, a refund notice), the reply goes to the account's Contact email for registrants, in Settings → General. Leave it empty to use the Owner's email. Only the Owner can change it. A shared inbox (info@, registration@) works well, so replies don't depend on one person. More in What registrants see.
Several accounts
If you're on more than one account's team (yours, and a client's who invited you), switch between them with the account switcher at the top of the sidebar. Its Manage link opens that account's Team page.
